Every handoff gets an owner, a next step and a finish line

  • Owner
  • Next action
  • Done when

When a quote, a job or an invoice passes from one person to the next, it shouldn't depend on somebody remembering. In a two-week Handoff Review I trace how work really moves through your business and agree with your team who owns each step.

Where work usually slips

Not in the big decisions. In the moment one person is finished and the next one hasn't started yet.

  1. Site visitQuote

The estimate is in someone's notebook and nobody owns sending it.

  2. QuoteFollow-up

The customer said "let me think about it" and the next call depends on memory.

  3. Job finishedInvoice

The crew is done, the office doesn't know yet, and the invoice waits.

  4. Every monthSomeone

Insurance renewals, vehicle checks and supplier orders live in one person's head.

The Handoff Review

A fixed two-week engagement, then one check-in on day 30. I work with the people who actually pass the work along, not only with the owner.

  1. Days 1–3

    Listen

A 30-minute conversation with each person who touches a job: office, field, whoever answers the phone.

  2. Days 4–7

    Trace

We follow three recent jobs from the first call to the paid invoice and mark every point where the work changed hands.

  3. Days 8–10

    Draw and agree

I walk the team through a one-page map. Each handoff leaves the meeting with an owner, a next action and a definition of done.

  4. Day 30

    Check

One call to see which handoffs held and adjust the ones that didn't.

What you keep

The handoff map
One page showing each stage of a job, who passes it to whom, and what "done" means at every step.
A recurring-work calendar
The monthly and yearly tasks nobody sees until they're late, each with a named owner.
Your own words
Definitions written with your team, in the language they already use, so the map survives after I leave.

How we would start

  1. You write a few lines. What your business does, how many people, and where work gets stuck.
  2. I reply personally by email. Usually with two or three questions, and an honest note if I'm not the right person.
  3. If it fits, we talk. A short call to decide whether a Handoff Review makes sense now.

What I don't do

I don't install software, hire staff or write five-year strategies. If that's what you need, I'll say so in my first reply.
